Experience letter, also known as a relieving letter, is a required document when applying for new jobs. On the last working day or at the employee's request, the employer issues a relieving certificate. This relieving letter has the company's letterhead where an employee worked and is signed by an authorised person, such as the company's HR manager.

The importance of a relieving certificate cannot be understated; a relieving letter is an important document that the company requests from a new hire. It is a well-organised document that highlights the new hire's previous employment experience. We'll show you some relieving letter samples to assist you in understanding what's included in them.

What is the purpose of a Relieving Letter?

When an employee leaves an organisation and has served their notice period, they are given an official document stating that they are relieved of all obligations and responsibilities, known as a relieving letter.

The relieving letter content contains the joining date, designation, annual CTC, last working details, and other important employment details.

It's also known as an experience letter, and it's one of the most significant documents to have when an employee wants to move on to the next firm since the letter will be used as a background check.

Relieving Letter Content

Knowing what to include in a relieving letter is challenging, but it is critical for an employer. Not only should all pertinent information about the individual be provided, but it should also be done methodically.

So, if you're wondering what a relieving letter looks like, here's step-by-step guidance on how to write one:

  • Issuance Date of the Letter

The date of the letter's issuance should be included in the first section of the relieving letter format.

  • Details about the employee

Following the date, the departing employee's private information, including their full name, employee no., department, designation, and the organisation's name must be mentioned.

  • Subject or Reference

In only one line, this section would summarise the letter's main points. Otherwise, type 'Relieving Letter' in the subject line.

  • Details of the Employee's Resignation

The second step in the relieving letter format is to inform the employee of their resignation in the first paragraph following the salutation. It provides the employee's designation and the date on which they will be relieved of their obligations.

  • An Expression of Appreciation

The second paragraph of the relieving letter template should reassure the employee that they will be paid in full and final within a certain time frame. Following the assurance, express gratitude for the employee's services to the company and wish them well in their future endeavours with a word of appreciation.

  • Signature

After finishing the primary text of the letter, sign it and include the employer's name, designation, and date of issue after concluding with 'sincerely'.

The Importance of a Relieving Letter

A relieving letter is an important document that you need as a professional. It can be used for:

  • Proof to a prospective employer that you have left your prior employer
  • Proof that you have paid off all of your prior employer's debts (if any)
  • You must provide proof that you do not have any company data or internal property.

FAQs

Q: Is it acceptable to resign via Email?

Ans:

It depends on your company's policies; some accept resignations through email. However, it is usually preferable to quit your employment via a physical resignation letter. However, in some cases, you may be unable to do so; in such cases, you may send your resignation via email

Q: What is a Letter of Acceptance of Resignation?

Ans:

The document where the employer accepts the employee's decision to quit is known as a resignation acceptance letter. It includes information such as the employer's acceptance of the employee's resignation, a request to return company-owned property, and words of gratitude and appreciation.

Q: Is issuing relieving letters from companies compulsory?

Ans:

Although it is not compulsory, many employers require them as confirmation that you are no longer linked with your previous employer and that you have finished all necessary paperwork with them.

In some companies, you'll be required to submit your resignation letter to the human resources department. If you don't, the years you worked for your former firm will not be included as experience years.

Q: Can employers deny relieving letters?

Ans:

Employers can refuse to send relieving letters for employees who have gone missing, whose service is subpar, or who have only worked for the company for less than six months. Suppose you've followed all procedures and formalities and still haven't received your relieving letter. In that case, you can encourage the person in charge to send it to you as soon as possible via email, phone, or face-to-face interaction.

Q: What Is the Difference Between a Resignation Letter and a Relieving Letter?

Ans:

A resignation letter expresses your desire to leave the organisation for which you currently work. The employee writes it. A resignation letter formally informs your management that you are leaving the company and that another individual should be hired to replace you and take over your responsibilities.

A relieving letter is a standard letter issued to an employee when they are about to leave an organisation. It is the traditional technique of informing the employee that their resignation has been accepted and relieved of their duties and obligations based on the business agreement authorised by them.

The employer issues the relieving letter. As a result, it is critical for the prospective employer. If you do not receive a relieving letter, you may not obtain your joining letter from the new company.
